Request for dormitory reservations

Dear J-PARC Users,
We ask for your cooperation in making advance reservations for dormitories.
When a large conference or other event is held at J-PARC during beam operation, the J-PARC dormitories often become fully booked with advance reservations from conference participants, resulting in a situation where users who want to stay to use the beam or perform related on-site work (hereinafter referred to as beam use) are unable to reserve a dormitory.
Therefore, during the beam operation period, we would like to try the following rules so that users with beam use can make reservations with priority.
During the beam operation,
- ① Users staying at J-PARC for beam use:
Reservations can be made from 45 days in advance of their planned stay (as before) - ② Users staying at J-PARC for the solo purpose of attending a conference,
etc. (no beam use, no on-site work):
Reservations can be made from 10 days before the first day of the conference (new rule)
- If the purpose also includes the beam use, item ① shall apply.
- Small-scale conferences, etc. (expected number of guests staying at the
dormitory is 15 or less) are excluded. ① applies.
- If your conference is larger than this and it interferes with the operation of the conference, please consult with the J-PARC staff in charge of the conference.

Visitors with beam use (case ①) should refer to the schedule of
meetings etc. scheduled at J-PARC , please refer to the information below
and make your dormitory reservation well in advance.

Participants only attending meetings (case ②) should consider using the JAEA multipurpose accommodation facility for visitors (JAEA Tokai Mirai Base) or nearby private hotels. To use the JAEA Tokai Mirai Base, applications must be made through J-PARC staff. Please contact the staff in charge of the secretariat of each meeting.
In addition, the block reservation rule for meetings of 30 or more people that has been in place until now will be suspended during the beam operation period.
