(1) About registration to the User Support System

Q1. How do I register as a new user? What should I do?

Please start registering your information by clicking "Registration" button on the top page of the User Support System.

Your experiment No. and the name of the principal Investigator are needed for user registration.

Q2. There is no response after new registration/identifying the new purpose. An initial password is not issued yet.

Approving your new registration takes a few days after applying. (An initial password will be sent by email after approving your registration.)

Please contact Users Office if an initial password is not issued over 5 days past after your registration.

Q3. I forgot my password./I did not change a password within 48 hours after receiving an initial password.
Q4. I mistakenly registered my information in the User Support System.
Q6. I have used the User Support System a long time ago, but do not remember my log-in ID and password. Can I start from the "Registration" button as a new user?

To avoid overlapping registration, one registered email address (= Log-in ID) per person is allocated. If you forget your log-in ID/password, please ask Users Office.

Q7. I cannot see my visiting purpose (experiment No.) on the User Support System even I have registered.

User registration is only one time per user, but adding/identifying a new purpose is necessary every fiscal year.
If you have already added a new purpose, it might be on the "waiting status for approval".
If a new purpose is not added yet, register it for the new fiscal year.

 

 

(2) About Visiting J-PARC

Q1. How do I change the length of my visit for the submitted "Application form to visit J-PARC"?/cancel the submitted "Application form to visit J-PARC"?

Please change/modify the visiting schedule for the already submitted "Application form to visit J-PARC" via the User Support System, or contact Users Office by email/phone.

*Do not forget to modify/cancel your Tokai dormitory reservation according to your change/cancellation, by midnight (12:00pm) of the day before of your stay.

*For change/cancel of JAEA accommodation reservation (Masago International Lodging, Tokai Bunshitsu), contact Users Office by the designated due day.

Q2. I cannot arrive at Users Office during usual business hours (9:00 - 17:00). How can I receive my User ID card if I need to enter the J-PARC site before/after business hours.
Q3. Is it possible to ask somebody to pick up my User ID card and Glass badge instead of me?

In principle, for security reason, it is not allowed that anyone except you picks up your User ID card and Glass badge.

Q4. Do I need to take the Safety trainings every time when I visit?

It is necessary to take Safety Trainings (General safety, Facility safety) every Japanese Fiscal Year.

Radiation safety training has to be taken once a Japanese Fiscal Year. Re-taking the Radiation safety is not necessary if you have already taken it during the JFY.

Q5. Do I need to submit "J-PARC card application" every time when I visit?
Q6. Can I take home the items which I received from Users Office such as User ID card, J-PARC card, glass badge and card keys?

Taking borrowed items back home is not allowed. Please return every things you received from Users Office when you leave J-PARC on the last day.

 

 

(3) About Personal Dosimeter (Glass Badge)

Q1. Do I need to apply for a glass badge every time when I visit?

Issued glass badge is valid until the end of the appropriate Japanese Fiscal Year without re-submission.

However, if you need to add/change the accessing area, an additional procedure is needed. Please contact Users Office.

Q2. When is the validated dates for "Radiation Training" and "Medical Examination" written on the "Radiation Worker Registration Form"?

Validated dates for both: "Radiation Training" and "Medical Examination" -> Within 1 year *Count backward from the date that Users Office receives your "Radiation Worker Registration Form".

Q3. I cannot take a radiation training at my institute/university. What should I do?

If you cannot take a radiation training at your affiliation, please take it at other institution which holds a radiation training regulated by the law.

Then, fill the training date on the form under a permission of radiation control officer at your affiliation. The date should be within 1 year.

Q4. There is no radiation control officers at my institute/university. What should I do?

If there is no radiation control officers at your institute, please get a signature from somebody who can take responsibility regarding the results of radiation dose measurement and medical examination, and also the radiation training at your affiliation.

Q5. Do I need to send the original "Radiation Worker Registration Form" to Users Office by post?

Please submit the original form to Users Office when you visit J-PARC on your arrival date.

 

(4) About Procedures for Principal Investigators

Q1. I want to add collaborators to my experiment. What should I do?

Persons who want to join the experiment need to register/identify the new purpose to the User Support System by themselves.

After their registration, an email titled "Request for Approval of the User Registration" from the system will be sent to the Principal Investigator. The new collaborators will be added if the Principal Investigator approves the registration.

Q2. I will not bring any machines/devices into the J-PARC. Do I still need to apply "List of experimental equipment to be carried into MLF"?

There is no need to apply the form if you will not bring any machines/devices into the J-PARC.

 

 

(5) About staying at J-PARC

Q1. Can I borrow a bicycle during my stay at J-PARC?

Please ask Users Office for lending a bicycle. Advance reservation for a bicycle is not acceptable.

However, if you enter the J-PARC site from a weekend and need a bicycle, inform of it to Users Office in advance.

Please understand that a bicycle might not be provided depending on stock status.

Q2. I want to use the Network.

The “UserLAN” wireless network is available for all J-PARC users in all J-PARC facilities, including the Tokai dormitory, without prior application.

Please inquire at Users Office for the network connection.

If you need to access to the J-PARC intranet (J-LAN) for data analyses and so on, advance application via the portal site is necessary.

*If you use only the Internet, the J-LAN application is not needed.

Q3. I lost my User ID card. What should I do?

If you lose your User ID card, contact facility manager, and Users Office immediately. Also, reporting to the nearest police office is necessary.

 

 

(6) About leaving J-PARC

Q1. Can I take my User ID card back home with me, because I have a plan to visit J-PARC again soon?
Q2. I have took my User ID card, Glass badge home with me accidentally. What should I return them?
Q3. Do I need to make a bus reservation for Narita/Haneda International Airport? Where can I make a booking?

Advance reservation is necessary to take a bus from Tokai for Narita/Haneda. Please ask for an assistance at Users Office. We will help in making a taxi reservation as well.

 

 

(7) About accommodation

Operation for Cancellation and Change

Q1. I will be late for check-in time at Tokai dormitory. What should I do?/Can somebody else check-in instead of me?

Check in time at Tokai Dormitory is from 4:00PM to 10:00PM. It will be available to check in after 10:00PM however the main entrance will be closed at 10:00PM, if you inform Users Office in advance. (Bussiness hours: Mon-Fri 9:00-17:00)

In principle, only the stayer can check in.

Q2. How can I modify/cancel the Tokai dormitory?

Modify/Cancel the reservation via the User Support System by the midnight (12:00pm) of the day before your stay. For Modify/Cancel on the day of your stay, contact Users Office.

*Fees will be charged for the cancellation on the day of your stay.

Q3. I have a booking at Tokai Dormitory, but I want to stay outside during the period. How can I change the reservation?

Please see Change of Reservations. If you have already checked in, please ask the J-PARC Users Office.

Q4. I already checked in to Tokai Dormitory. But I want to check out earlier than reservation.

Modification of check out date is not possible via online once you have checked in. Please ask Users Office by email or at the reception desk.

A cancellation fee will appear for the cancelation on the day of you stay. So please notice to Users Office one day prior to check-out date.

Q5. How can I modify/cancel JAEA accommodation reservation (Masago International Lodging and Tokai-bunshitsu)?

Contact Users Office for modification/cancellation.

*Fees will be charged for the cancellation on the day of your stay.

Q6. I will be late for check-in time at Masago International Lodging. What should I do?/Can somebody else check-in instead of me?

If you will be late for check-in time, please contact Users Office (Bussiness hours: Mon-Fri 9:00-17:00) in advance.

Please call to Masago Front desk (Tel.: 029-287-0757) directly when it's after Users Office bussiness hours.

*Fees will be charged for the cancellation on the day of your stay without without any prior notice.

In principle, only the stayer can check in.

Q7. I will be late for check-in time at Tokai Bun-shitsu. How can I modify/cancel accommodation reservation?

If you cancel or will be late for check-in time, please contact Users Office (Bussiness hours: Mon-Fri 9:00-17:00) in advance.

on the day of your stay -> Please call to Tokai Bun-shitsu Front desk (Tel.:029-282-3899) directly when it's after Users Office bussiness hours.

Q8. When does a cancellation fee appear?

A cancellation fee will appear for the cancelation on the day of you stay. You can cancel the reservation without any cancellation fee by 24:00 of the day before your stay.

 

Operation of reservation

Q9. I will go to both KEK Tsukuba and J-PARC. How can I book the dormitory at both places?

Please book a room at each dormitory via the USS according to your schedule. One operation can book either dormitory.

Q10. Is there any other accommodation facility in case all rooms of the Tokai Dormitory are sold out?

Yes. Please go to “other accommodations."

 

About payment

Q11. What is the payment method?

Cash, credit card (Visa, Master Card, JCB, American Express), debit card, or bank transfer.

Bank account information is on the confirmation form (Dormitory Usage Record).

Q12. I'm a KEK user, I want to apply offsetting travel expenses and accommmodation fee.

 

 

(8) Others

Q1. I want to take "J-PARC Facility Tour"? How can I apply?

For "J-PARC Facility Tour" and "JAEA Facility Tour", please send a request to web-staff@j-parc.jp.

Q2. How can I send a parcel? (How to send/receive)

Please inform Users Office about the shipping in advance, and send it to the following address.

Make sure to write the recipient's name on the parcel. Users Office will let you know upon its arrival.

Q3. Who should I contact with if I need help urgently/become sick after Users Office's business hours?
Q4. I want to make an overseas call. Where can I buy a calling card? Where can I rent a mobile phone during my visit in Japan?

International calling cards are available for purchase at convenience stores. You can rent a mobile phone at Narita International Airport.

A public phone is at the Seven-Eleven convenience store in front of the JAEA main gate.
